Privacy
Draft, October 1, 2026
DEN Salon keeps as little as possible. People who browse events or tap “I’m going” need no account and no login.
What we keep
- When you tap “I’m going”: nickname, note, number of people, language, and the time you tapped. Nickname, note, and number are shown publicly on the event page (the time is shown roughly, like “3 hours ago”). The language is not shown.
- A value derived from your IP for rate limiting: stored as a salted, irreversible hash for up to 2 hours to stop floods. We never store the IP address itself.
- Host applications: name, contact, and event details. Contact and details are never public (the host name appears on its events).
- Sign-in for DEN staff and approved hosts: you sign in with a passkey stored on your own device (Face ID, fingerprint, or your device’s screen lock). DEN stores only the passkey’s public key, the name DEN gave you (for hosts, the shop name), the device name, and when it was registered and last used. We do not store email addresses, phone numbers, or passwords. Your face or fingerprint data never leaves your device and is never sent to DEN.
- Entry form submissions (/entry, for bringing your event to DEN): event name, date, place, size, budget, and similar details, plus the organizer's name and contact. Your contact, budget, number of helpers, the responsible person's name, your notes, and similar details are never public. If DEN decides to list your event, it creates a draft with the event name, date and time, place, fee, expected number of people (as the capacity), description, and organizer name. Once DEN publishes it, anyone can see these. Your contact is never copied.
- On your device only: for each RSVP, the cancel key, cancel link, nickname, number of people, and time (to show “you’re going”); your language setting; and a flag that you closed the “Add to Home Screen” tip are saved in your browser (localStorage). Of these, only the cancel key (with the RSVP number) is sent to DEN’s server: when you cancel, and when you open an event page so the app can check that your RSVP still exists. DEN does not store the key itself, only a value used to check it. Nothing else here is sent to DEN. Clearing site data in your browser removes them.
How long
- RSVPs: deleted automatically 90 days after the event ends, or immediately when you cancel.
- Rate-limit values: up to 2 hours.
- Declined applications: deleted 90 days after receipt (if the host still has events listed, only the contact and details are deleted; the name stays as the host of those events).
- Pending applications and approved or suspended hosts: kept while we work with the host. Contact hostel DEN to have them deleted.
- Passkeys: kept until revoked. DEN can revoke them in the admin page. A host’s passkeys are deleted when DEN suspends the host or declines the application.
- Invite links: deleted 7 days after they expire or are used. We store only an irreversible value derived from the link’s key.
- Entry form (/entry) submissions: deleted 1 year after receipt (proposed; not final yet). Even after a draft event is created from it, the entry record itself is still deleted on this schedule (the event it created stays, separate from the entry record).
Use and sharing
We use this data only to list events, record RSVPs, and moderate abuse. No advertising, and no sharing with third parties except as required by law. Data is stored on Cloudflare. Cookies are used only while staff or hosts are logged in.
Event photos may be loaded from an outside site chosen by the host. That site then receives normal connection information such as your device’s IP address (we set the page not to send which page you came from).
Deletion and contact
You can cancel your RSVP anytime from the same device or with your cancel link, which deletes it. If you lost the link, or want a host application deleted, please ask at the hostel DEN front desk, or write to hostel DEN, Fujii Daini Bldg., 4-13-8 Nihonbashi-Honcho, Chuo-ku, Tokyo, Japan. Please tell us the event name, date, and your nickname so we can find your RSVP.
